A collaborator is someone you invite to help with parts of your HearthBook, such as a spouse, adult child, or trusted advisor. Collaborators use their own account and two-factor authentication, and their access is limited by HearthBook's collaborator permissions. Up to three collaborators are included with an account.

Only the information you have made available for immediate emergency access, such as selected documents, key contacts, or companies. Other HearthBook information remains subject to the Emergency Access settings and safeguards you have configured.

Yes. You can manage collaborator and Emergency Access permissions from your account and change or revoke access when needed.

You choose your emergency contacts and configure the access available to each person. Depending on your settings, an emergency contact may be able to reach limited key information immediately or request broader access through a safeguarded process. Naming someone as an emergency contact does not by itself give them open access to your HearthBook.

A request for broader access begins the Emergency Access process you configured. This can include notification and a waiting period you selected. A request does not provide immediate full access, and you can respond before broader access takes effect.

No. Collaborator access is designed for ongoing, everyday involvement with people you trust, while Emergency Access is configured separately for situations when important information may need to be reached without you being available. Each has its own permissions and access rules.

HearthBook requires two-factor authentication for user accounts and uses encryption for information in transit and at rest. Access is also governed by account roles and permissions. Certain sensitive documents can be protected with an additional PIN that is separate from your account password.

HearthBook uses AI in specific features, such as proposing details found in an uploaded document, suggesting information from certain records, answering questions using HearthBook help content, and supporting tools such as Find a Pro. AI is used to assist with these tasks, not to silently change your HearthBook records.

HearthBook does not use your information to train its own AI models. When third-party AI services are used, data is handled under the provider's applicable commercial terms and HearthBook's Privacy Policy. Under the commercial API terms currently used by HearthBook, submitted data is not used to train the provider's models.

Access to your HearthBook is governed by account roles and the permissions you configure. Collaborators and emergency contacts can access only the information available to them under those permissions. Yes. When AI proposes information to add to your HearthBook, such as details extracted from a document or a suggested subscription, you review it before it becomes part of your records.

Yes. You can export your Life Map to Excel from Settings. You can also close your HearthBook account through the account settings and deletion process.

Yes. HearthBook Free includes Contacts and your Life Map, so you can begin organizing important people, companies, assets, liabilities, and other core information without a paid membership. You can decide later whether the additional Membership features are useful to you. Free users also include up to three collaborators.

HearthBook Membership is $19.99 per month. There is one Membership plan rather than multiple paid tiers.

Your account moves to HearthBook Free, and the information and features included with Free remain available. Membership-only features become unavailable, while certain existing items may remain accessible according to HearthBook’s downgrade and grace-period rules. Existing Emergency Access contacts can continue to work, but adding new emergency contacts requires Membership.

HearthBook Membership includes everything in HearthBook Free, plus document storage and secure sharing, linked documents, all Life Tools, AI-assisted features, and the ability to set up Emergency Access.

Yes. You can manage or cancel your membership from Settings. If you cancel, your account moves to HearthBook Free according to the access and retention rules that apply to Free accounts.

Yes. You do not need a paid Membership to be invited as someone else’s collaborator or emergency contact. Accepting and using that access is included at no cost.
